BPM Risk Management Outline

I came across this post on Business Process Management IQ that details a comprehensive outline for managing risk in any project as provided by PMBOK (the project management book of knowledge). I’ve copied the outline below. Enjoy!

Risk Management Outline
1. Risk Management Planning – approach to and plan for risk management as well as the approach an organization takes to execution of plans
2. Risk Identification – determining risks and identifying the characteristics of those risks
3. Qualitative Risk Analysis – prioritizing risks responses based on probability of occurrence and impact
4. Quantitative Risk Analysis – analyzing effect of risks should they come to fruition
5. Risk Response Planning – developing options and actions to minimize risks and their effects
6. Risk Monitoring & Control – tracking risks, monitoring residual risks, identifying new risks, executing risk response plans and evaluating effects of those plans

Note: PMBOK states some risks are positive and refers to them as Opportunities. Some risks are negative and are commonly referred to as Threats. I think it is a stretch to call a risk an “opportunity.” I prefer that you conduct a SWOT analysis.

Colosa Launches Business Process Library

This post on BPM Architect highlights Colosa’s latest launch of a new library of business process templates called ProcessMaker Library. Colosa is a leader of open source business process software, and now it will be able to simplify business process for managers to increase the efficiency and structure of their business.

New templates will be added every month so the library will have a range of business process templates. Patricia Cabero, ProcessMaker Community Lead, mentions:

"ProcessMaker Library responds to a community desire to share workflow designs. This innovative resource will offer increased utility to ProcessMaker users and grow the community network in new and interesting ways. The Library is in Beta version, and new templates and features are coming soon."

How do you Define Business Process Management?

Enterprise architects, business solution providers, and project managers all define BPM in different terms. Arjun Thomas has used wikipedia’s definition of business process management in his post today, which reads:

“Business process management (BPM) is a method of efficiently aligning an organization with the wants and needs of clients. It is a holistic management approach that promotes business effectiveness and efficiency while striving for innovation, flexibility and integration with technology. As organizations strive for attainment of their objectives, BPM attempts to continuously improve processes - the process to define, measure and improve your processes – a ‘process optimization’ process.”

What Businesses Can Learn from Processes of U.S. Elections

I came across this very intriguing post by Dennis Byron at BPM in Action earlier today. Today is Election Day, and he explains that many businesses today are just like ballot initiatives. There is much human intervention with double and triple checking at times, and technology is a very small part of the work flow itself.

Human interaction at election locations start at the beginning with ID checking, calling out your name in public, signing the book, and then finally voting. The main idea here as with processes in businesses as well, is that problems occur in the human workflow process and not the technologies. Do you agree?

Incorporating BPM and HR

When I was trolling through some BPM Forums I came across this white paper. Posted on BPMEnterprise.com it discusses the "integration" between HR and BPM. The paper was written by Wipro Technologies and covers the process that their team of employees went through. As the paper states:

In latest news, IBM has reported their latest release, a new Enterprise Content Management (ECM) Solution. This new service meets more needs, since it is more "flexible" and customizable based on organizational needs. Ken Bisconti, vice president, products and strategy, IBM Enterprise Content Management, explained the benefits of this new venture:

"Organizations need information to innovate and optimize their businesses, but many struggle with how to manage all the information that they have. IBM's focus on agility with ECM software helps clients address many important challenges, such as how to globally integrate solutions with immense volumes of information and optimize their processes while managing regulatory requirements."

Lombardi Now Offers On-Demand Process Mapping Training Program

BPM Architect reports that Lombardi, which offers business process management software, has released Process Mapping 101, which is an online, on-demand training course for participants who are looking to immediately get started with process mapping using Lombardi Blueprint. The course has been built by Lombardi and Bruce Silver who is the found of BPMessentials.com.

Bruce Silver, founder of BPMessentials.com and co-developer of the course mentions:

"In this training we've tried to provide a cookbook approach to getting started in BPM: organizing the project team, facilitating the mapping sessions, and capturing that information in a process diagram. New Release of Oracle Business Process Management 10g Release 3

According to this article in SOA World Oracle has unveiled Oracle Business Process Management 10g Release 3, which will allow business and IT users to collaboratively automate and optimize business processes enabling improved efficiency and agility.

Here are some of the new features the release will offer: new user interface, new modeling capabilities, new business rules and the ability to import models from third-party tools. This release is part of a series that integrates technology from Oracle and BEA systems.

Shocking Numbers for Business Process Management Adoption

This post on eBizQ discusses that according to a new AIIM study that was recently released, the enterprise is not doing all it can to take maximum advantage of business process management concepts.

It’s shocking to hear that only 3% of companies felt that they had achieved "process excellence." AIIM Vice President and report co-author, Carl Frappaolo states:

“This is disappointing and shocking. Despite decades of market attention on process excellence—from the manufacturing industry, into the world of “knowledge workers”, and across all industries—it’s been a long, slow journey, and many have yet to embark on the journey. The damage lies in the fact that processes are the core of any functioning organization.”

Researching the web I came across the white paper “Enabling Enterprise Business Process Management” written by Robert Shields, who is the director of product marketing at Telelogic.

Here’s a brief description of this 16-page white paper:

Metastorm Partners with Align

I came across this post on BPM Architect in which they discuss that Metastorm, a leading provider of BPM solutions, and EA software has formed a strategic partnership with Align in order for it to become an Original Equipment Manufacturer (OEM) partner and has integrate Metastorm BPM into its Asset Point software platform.

With this new partnership, companies can now develop plans and make them more efficient, reduce cycle times by enforcing rules, ensure compliance, and expose IT assets and make them available for re-use.

Janet Halma, senior vice president of Business Development at Metastorm mentions:

"Our partnership with Align clearly demonstrates that Metastorm is the
platform of choice for companies seeking to quickly extend and enhance

The Difference between BPO and BPM

I came across this post on BPM in Action in which Dennis Byron reminds us not to confuse BPO (Business Process Outsourcing) with BPM (Business Process Management).

Business processes that do not provide any particular competitive advantage are good candidates for BPO. Here are some processes that Dennis mentions are good candidates for BPO: payroll processing, benefits administration in highly regulated jurisdictions, purchasing office supplies, shipping small packages, demand deposit accounting in banks, anything that follows an ACORD form in insurance/assurance, and scheduling worker hours in any kind of retail operation. Any processes that do provide competitive advantage is a good candidate for in-house responsibility.

So according to Dennis, BPM is the best way to automate business processes whether it be outsourced or retained within the enterprise.

REW Npower adopts BPM

In a recent article at CIO, they talk about how RWE Npower has successfully improved its processes thanks to the adoption of BPM. In April of 2007, they began implementing BPM with IDS Scheer ARIS software. Their goal was to identify and track current processes and set standards. This has been successful so far and their next goals are to improve performance management and to improve how enterprise architecture is set up for business processes.

What came first?

In a recent article at Computer Weekly, they ask a very good question: Has increasing technology helped evolve business processes or have evolving processes driven the pace of technology change? The author points out that we now find business processes that will agree with with the IT systems we have in place, and we should not buy technology just for technology's sake, but find something that will work with the business systems we already have in place.

For the author, the most exciting progression was this:
For me, however, the most exciting development in business process management from a technology perspective has to be Web 2.0 which offers a vast potential for change, delivering entirely new ways to find, use and share information. We are no longer tied to searching through regimented file structures mimicking a physical filing cabinet but have now been freed to organize our information by keyword, topic, or even by the specific expertise of the author.

For a great overview of the BPM field check out this slideshare presentation that was featured on slideshare. Titled simply "Business Process Management" it provides basic background, and also provides great references for more sources of information.

In related news, according to this article, a recent report from Report Buyer titled 'Business Process Management (BPM) Market: Opportunities, Strategies, and Forecasts, 2008 to 2014', suggests that the BPM industry is in a growth stage. This makes the slideshare presentation more important since it imperative for business to familiarize themselves with BPM to remain competitive.

According to this article,

Salient Business Solutions, a leading provider of business process outsourcing (BPO) services, announced the creation of its U.S.--based division, Salient Business Solutions USA, Inc., headquartered in New York. The creation of the U.S. division enables Salient to establish a solid U.S. presence and provide customers with a domestic origination and delivery team, as well as local accountability.

I find it interesting that this organization based in India is seeking to establish their business in New York. This comes at a very volatile time for the US fiscal system making it nearly possible for a big international corporation to succeed.

According to Michele Cantara, research VP for Gartner, “BPM is intended to empower business stakeholders to work collaboratively with IT to change the solutions supporting business processes. Pegasystems Launches an Industry-First BPM Platform-as-a-Service

BPM Architect reports that that Pegasystems, a leader in business process management software, has released PaaS, which will give enterprises the benefits of Software-as-a-Service (SaaS), but without the risks and limitations that come along with traditional Saas technology.

Unlike SaaS, corporate organizations can now take advantage of the same technologies while still maintaining the same shared infrastructure. Daryl Plummer, Managing VP at Gartner mentions:

“We believe that there are more immediate and practical uses of cloud-enabled technologies than hosted SaaS, and using them to encourage BPM adoption and re-use within an extended enterprise makes sense. Large organizations host many different communities that need their own specialized processes to evolve, and they are not likely to entrust change-sensitive mission critical functions to a commoditized SaaS offering more appropriate for the SMB market.”

According to this article in MarketWatch today, Savvion, a business process management solution provider has released Savvion Communications Order Management Solution, which is a BPM system for communications industry service provisioning and customer order fulfillment.

Sanjay Kumar, Vice President of Communications and Media Solutions at Savvion mentions:

"Companies providing cable, telecom, cellular, content or other communication services must deliver seamless service to customers while keeping costs down. With our new Savvion COMS 7.0, we are the first in the industry with a solution that helps them meet those goals immediately."

Even though Dennis found this list before the current financial market crisis, it's surrounded by financial and medical keywords. What does this mean? BPM is somewhere on people's minds. They're looking, and gaining traction. There's hope yet that BPM will grow leaps and bounds to help streamline paper-filled business processes.

BPM and CRM come together

This article notes the growing link between BPM and CRM. It seems that more frequently these two terms are coming together. Analysts at Gartner have deemed that the biggest challenge facing the CRM industry is business process management related. Isher Kaila, a Research Director at Gartner stated:

"In the last decade, interest in CRM has grown exponentially. But we look at the ASCI [American Customer Satisfaction Index] scores and are we seeing a transformation? The answer is no."

Gartner has deemed that the solution to this problem is BPM related. As Kaila further remarked:

"Who's talking about the end-to-end processes? You need to look horizontally, not vertically, within your organization, because that's how your customers experience your organization."

He explains that process management is a plan of execution of process and to steer the execution of the process. Growth of BPM

Just announced in this press release, Cordys is the “fastest growing Business Process Management Suite vendor worldwide.” It was Gartner Inc. that released the findings that Cordys grew by 98.2% in this past year. Gartner also reported that the total BPM market has expanded from $1.229 billion in 2006 into a $1.692 billion industry as of last year. As mentioned by Jan Baan, CEO of Cordys, one of the reasons for the rapid expansion of Cordys, as well as the industry as a whole, has been a direct result of globalization. It seems that even though many markets are going through turbulent times the need for BPM process is still being seen by many organizations as a necessity.

At EBiz, they inform us about a German electricity company that has just adopted BPM in order to become a completely electronic company. In an effort to redefine their businesses from process perspective, they’ve adopted Software AG to redefine their IT structure.

They look for the software to provide them these benefits:
-More immediate changes to processes in order to implement new regulations
-Support new customer requirements
-Introduce new products on-demand.

Watt Germany is hoping this new business process software will help increase efficiency and will deliver gains by 30% allowing them to redirect this money to accelerating sales.

As reported in ebizQ, Xtiva chose Microstraegy Business Intelligence Platform for there Saas BPM portal. Regarding this choice MicroStrategy’s COO Snaju Bansal released this statement:

Appian and Mega Partner to Bring Together BPM Tools and Enterprise Architecture Software

Yesterday I wrote about this partnership between these two companies on this post on our Evolve EA blog, and I figured I share the news along here as well. eBizQ reports in this article that Appian, a provider of BPM techonology, and Mega, a provider of EA technology, have entered in agreement to join the BPA and EA capabilities of the MEGA Modeling Suite with the Appian Enterprise BPM Suite and the Software-as-a-Service (SaaS)-delivered Appian Anywhere platforms.

This new partnership is aimed to improving enterprise success in process innovation and building on existing deployments of software with joint customers such as Enterprise Rent-A-Car, AXA Investment Managers, General Dynamics, and the Department of Homeland Security. Users will be able to perform archectiture and process design on the Mega Suite and then export processes directly to the Appian BPM platform to map out direct management of operations.

Lucio de Risi, president and CEO of MEGA mentions:

Nomad Information Systems adopts new CRM framework

In a recent article at IT Web, we find out that Nomad Information Systems has chosen a new CRM framework provider, Radical. Radical’s new software will provide a way to better manage call logging and work flow planning. This new software will integrate the bank, retailer and customer by capturing information at the point of the sale, providing a safe way for transactions to go between the retailer and the bank.

Mark Fouche, technical director at Nomad Information Systems, had this to say about their new software:

"Through Radical we will better manage the logging of our clients' calls, be able to track and monitor call status, and improve our work flow processes, such as the planning of pilots and subsequent roll-outs of the Nomad product to clients,"

Appian and MEGA Partnership

MarketWatch reported today that Appian and MEGA have decided to combine the BPA and EA capabilities of the MEGA Modeling Suite and Appian Enterprise BPM Suite as well as the SaaS platform by Appian Anywhere. As summarized by MarketWatch

The partners say the aim of the agreement is to accelerate enterprise success in process innovation and build on existing deployments with current joint customers such as Enterprise Rent-A-Car, AXA Investment Managers, General Dynamics, and the Department of Homeland Security. The partnership will be supported by product integration, as well as shared and coordinated sales and marketing activities.

NHL’s Vancouver Canucks implement BPM

The Vancouver Canucks are implementing a unified communication system to boost business process management within it’s Vancouver Arena, GM Place. This three year project will implement Nortel Networks Corp’s VC product suite. This software will allow voice, data and wireless communications to function together to improve the business process throughout the arena. IT World Canada covers the story here. The management is expecting this software to improve internal communications and even beyond that. Concession stands are hoping that the new software will help them to, by monitoring the amount of food in stock at individual stands. Security is also expected to be affected, as they can direct security guards in real time to where they’re needed most.

Intalio Releases Latest version of Intalio BPMS

As reported here, Intalio released version 5.2 of Intalio BPMS. The biggest benefit is the real-time process monitoring that has been added to the capabilities. Titled Business Activity Monitoring, this allows companies to define Key Performance Indicators (KPI) and sets alerts for business process activity. The dashboard shows both charts and graphs, and reports created can be exported into PDF format. CEO and founder Ismael Ghalimi also mentioned that:

Interoperability is another cornerstone of the release. Intalio BPMS is now certified to work with a broader combination of application servers, databases, hardware and operating system

How to start your process management

In a recent article at TV Technology, they talk about approaching business process one step at a time. Business process management is all about aligning your business goals with technology. When the technology changes, its important to see that your processes shift, too. With this software integration of your business to technology, it’s important to see that you’re continually improving and developing your business processes. It’s also important to realize that your technology falls in line with the way your business and people work.

Some of the greatest results that come out of aligning technology with current processes are the agility that comes into your organization and how communication is increased as a result of the formalized processes.

The article also gives a great starting point to adapt process management, document your current processes (colons are used for lists, so you just need a comma instead. Once you’ve done this, you can see which process would benefit the most from turning it into a business process.

As announced in this article from CXOtoday, Ma Ketabchi, CEO of Savvion mentioned that Savvion is “planning a hot of customized BPM solutions”. The specific sectors they are targeting include healthcare, retail, and BFSI. In addition, the company will launch the Savvion Business Solutions Alliance Program. As Ketabchi stated:

‘The core objective of the program is to aid in developing more and more business applications for enterprises. Companies such as Oracle and SAP develop business applications that only have broad applicability, but companies need much more than that.”

Managing Your Business

This afternoon I came across this post ‘Manage Your Business in 4 Easy Steps’ from Jeremiah Whitehead on GK Business. He details four steps business should take in order to ensure that their business will not fail. Here’s a brief recap of what he proposes.

  1. People – Your company’s first concern should be to keep employees happy. By creating an environment where people know exactly what to do, you will ensure that the quality of the product/service does not suffer.
  2. Applications - Using good business process management software can provide structure, control, and an easier way for people to manage conflicts. Applications that employers use on a daily basis can be controlled and monitored through BPM software.
  3. Databases – Databases can wreak havoc within the organization. Make sure that your BPM software allows for the programmability in multiple languages to avoid this problem.
  4. Quality Control – With solid tools and BPM software in your company you can rest assured that the quality of work will be high.

Kaiser Permanente adopts new BPM software

According to The Call Center Clinic, Kaiser Permanente, a healthcare company, has adopted Pegasystem Customer Process Manager for Health Care. They’ve adopted this system in order to: optimize customer experience, drive higher first call resolution rates, and lower call handling times. The CPM HC is built specifically for health care organizations and will help Kaiser Permanente by giving them software that includes: multi-channel, intent-driven customer service to increase productivity, loyalty and growth.

Alan Trefler, the CEO of Pegasystems had this to say:

"We are delighted that Kaiser Permanente has selected Pegasystems to support their contact centers. Toyota Motor Europe Selects Active Endpoints

Toyota motor announced, as reported in this article from market watch, that they have been able to successfully use ActiveVOS. According to the article

An application orchestrated by ActiveVOS enables users to more readily access Toyota's sales education curriculum, guaranteeing that the education is widely used within the company and that each student's progress is tracked.

In response to the news, Eric Egertson, VP of Sales for Active Endpoints stated:

“We are pleased that Toyota Motor Europe selected Active Endpoints to develop their SOA applications. Modernizing important systems like learning management to take advantage of ActiveVOS's business process management (BPM) and workflow capabilities delivers immediate return on investment."

Microsoft: Does it own the BPM space?

BPM means different thing to everyone in the corporate world. This post on The Register discusses that whether you view BPM as Business Performance Monitoring, Business Process Modeling or Business Process Management Microsoft seems to be leading vendors in supplying users with workflow solutions, middleware, analytics, and much more.

It will be interesting to see how some of Microsoft’s competitors like IBM, Oracle, and Lombardi will position its BPM Suites to combat Microsoft’s majority share of this area. What are your thoughts on Microsoft and BPM?

According to Moneycontrol, Haldiram, a manufacturer of famous Indian snacks, has turned to Infogain to help align their retail manufacturing needs. Infogain will help develop and implement a dispatch management solution to streamline its business processes across it’s global network of manufacturing units. Infogain is known for its expertise in retail business process management.

HCL Automates BPM for the State of Nebraska

MarketWatch reports that The State of Nebraska’s Worker’s Compensation Court has awarded HCL America Inc. a contract to create a Business Process Management application and framework.

The court has invested much time in trying to become a ‘paperless’ court, but in its efforts has had a tough time tracking and reporting data on events as workers compensation filings pass for approvals. BPM tools can automate this process and make a paperless environment work. The objectives of NWCC is to streamline workers compensation processes while separating process management rules and controls from structured data interaction.

Pitny’s Delicious Foods looks to BPM for efficiency

Business process management can increase the speed and efficiency of data running through a company. IT Business of Canada has the report here. Pitney’s Delicious Foods, of Burlington, Ontario, is looking to increase exactly those things while reducing the number of errors in their data keeping by adapting BPM. This fresh and frozen chicken product company is looking for their “Golden Egg” by investing in new BPM software but installing using products within SAP and Business Objects. Their aim is to help the migration of reporting processes from excel sheets to a fully automated process. With their current software, it takes five days to produce sales and financial reports. Within these reports, there tends to be errors due to the manual work required with an Excel sheet.

With this new software, they hope to automate this process which will lead to better control of their inventory, and in turn leave them with better warehouse stock numbers and provide them with more accurate restocking schedules.

The next step in their process to implementing BPM is to install the software, a seven week process. This new software will show the benefits of an automated process from the front lines of the factory to upper level management, as they will now have better control over their inventory numbers.

E-mails Role in Business Process Management

This article discusses how e-mail, instead of being simply a supplement to BPM, has morphed into a tool that is increasingly taking up more and more of an employees time. The author, Ramon Padilla, quotes Ross Mayfield, President of Socialtext,

“(Employees) spend most of their time handling exceptions to business processes. That’s what they are doing in their inbox for four hours a day. E-mail has become the great exception handler.”

Padilla further expands by discussing reasons as to why e-mail has become time consuming in organizations:

  1. [We are] Making it up as we go along
  2. Not enforcing business process
  3. Business processes that are not automated or automated with software that is outdated or doesn’t fulfill the user’s needs
  4. Lack of communications within an application or integration with other communication mechanisms
  5. Lack of communication alternatives besides e-mail

These points raise questions regarding organizations use of BPM. If e-mail is taking up much of an employees time as a way to deal with exception in BPM, does this mean that the company does not have effective business processes in place? Iontas Helps Solve BPM Issues

According to this article on Market Watch, Iontas has added a function in their Focus software suite which will capture every step that people take to conduct business tasks, without interrupting their work or requiring integration. The application will graphically map out how processes are being followed, which will be a huge help for managers in order to determine where and how to focus resources for process improvement.

This software will end guessing games about how people use information technology. With focus, managers can look forward to improving efficiency and reducing operational costs. Iontas CEO Joe Stockton mentions:

"Every manager at every company needs to understand their processes before they can optimize them.”

Community College moves to BPM

In a recent article by Fox Business, they reported that Edmonds Community College, in Washington state, is transforming to a BPM system to manage their processes. They believe that by automating the business process, they will improve the efficiency of the administration and improve employee activity

The new system they’ve adopted, Liquid Office, will help create, deploy, route, approve and manage many digital documents a year. The current system for management of documents is primarily done with paper.

Here is what Victor Portolese, manager, Application Development Services at Edmonds Community College, had to say about their transition:

"Previously, all of our administrative information was managed using paper-based processes that were labor intensive and prone to error. We required a solution that would reduce the time and costs associated with the management of forms while also integrating easily with our existing system framework. The LiquidOffice solution provides us with out-of-the-box robust capabilities that can be rapidly tailored and deployed by our staff with little to no programming. With Autonomy Cardiff, we will be able to automate and streamline our HR-related business processes that have historically been paper based, helping to decrease the time it takes to process our digital forms, while increasing our employees' productivity.”

BPM and SOA

This latest post on SOA Evolution details the evolution of business process management from the 1980’s all the way to today’s day and age. In the 1980s BPM consisted of jotting down processes on pen and paper, getting a team of programmers to build it, and then implementing it usually on one huge computer. In the 1990s BPM changed to a more organizational approach. Systems included process diagrams, IT and business change. It is easier to make sense of business process management than SOA, and this is why businesses are hesitant to embrace SOA. IT departments are aware that SOA is needed in order to make SOA work, and this is how BPM will eventually “save” SOA.

Business Processes and Management

Adopting a business process approach to management can sometimes be difficult to navigate. This article from BPMenterprise.com offers a useful guide on the appropriate steps needed. First as they say, the two questions that are asked about this process are

“Who are your customers/stakeholders, and what are the benefits that your organization offers them?”

After determining the answer to that question, the following outline can be applied in order to implement a business process approach to management.

  1. Determine the value chains that deliver these benefits
  2. Decompose the process and determine the process boundries
  3. Select appropriate metrics based on critical success factors for the identified processes and overall strategy
  4. Appoint process owners for each core process
  5. Begin a never ending cycle of business process improvement
